POSITION SUMMARY:
Greets and assists all vendors, customers, job applicants and other visitors. Operates telephone console to route all incoming calls and inter department transfers. Has knowledge of commonly-used concepts, practices, and procedures within the petroleum distribution field. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Directs visitors to destination and records name, arrival time, department or person visiting, and departure time. Keeps accurate records in case of emergency situations.
- Operates telephone console to receive incoming calls and messages. When needed directs calls to proper voicemail.
- Screen calls to Executives and upper management.
- Direct incoming calls to appropriate department or person able to assist customers with questions or concerns regarding their account, orders, payments or changes.
- Updates phone console, receptionist manuals, and conference room employee and locations list. Update all contact information for internal phone extensions, cell phones and designated emergency contacts. Reception desk should always have current information on employees by department and facility.
- Use proper customer service and phone etiquette to assist customers and provide the information needed to direct their calls properly.
- Assist document center with deliveries, hand delivered mail and packages. Notify department/employee of deliveries when needed.
- Performs a variety of clerical duties including opening and stamping AP mail, separating and mailing vendor checks, and mailing customer invoices. Matching AP EFT notices with invoices to be paid. Also responsible for seeking daily clerical tasks.
- Responsible for insuring daily reception lunch coverage if coverage is not available.
- Responsible for making arrangements for coverage when on a scheduled time off or sick time off. Including calling temp agency to arrange coverage, calling immediate Manager and/or Supervisor to advise of being sick, calling employee phone help for assisting and training of temp. And arrange for lights on and opening of lobby doors.
- Attend to walk-in customers (established customers or cash/creditcard )
- Maintain the petty cash balanced daily.
- Help with the Plant Fuel reconciliation (training will be provided)
- Take orders from customers if needed
- Bilingual a plus
- Obtains caller’s request and forwards call to appropriate department/employee

Pay Rates Starting between: $16.00 - $23.40 / hour
